General Ledger
User Definable Parameters - include number of periods (up to 13), format
and length of GL Account Number, allow prior period journal entries, allow changes to system
generated journal entries, description of net income and retained earnings, number of years to
retain history detail, and number of years to retain history balances.
User Definable Tables - include Divisions, Departments, Locations, Ratio
Codes, Bank Accounts, and Inter-Division (Due To/Due From) Account Numbers for fund accounting.
Account Master - allows users to define their own chart of accounts, with
flexible format to include division, department, and/or location code imbedded with account number.
Copy/Create a new section of accounts by using division, department, and/or location patterns.
Inactivate Accounts - that have a balance and/or current year activity so that
the account may not be used in any further posting transactions
Account Balances - are maintained for Actual, Plan, and Estimate data types, for
an unlimited number of fiscal years prior and future, as well as current year. They are accessible
for use in creating reports and inquiries.
Estimate Data - can be updated manually (i.e., budget/plan revisions) or updated
automatically during each period end processing cycle by the actual data for that period. Example:
Pre-load the Estimate Data with the Plan Data at the beginning of the fiscal year, then update the
estimate each period with the actual data. Use the Estimate Data in a Financial Statement to provide a
more accurate picture of projected year-end figures, by combining actual through the current period and
plan through the end of the year.
Journal Entry - functions allow for reversing and recurring entries, as well as
standard journal entries. Recurring entries can be designated to recur for selected date ranges, and
reversing entries can be designated to reverse in a specific period. Journal entries can be entered
for any current and future periods.
Prior Period Journal Entry - allows for posting of entries to a closed period,
and correctly rolls forward any balance sheet accounts when the prior period is a previous year.
Allocation Tables - can be defined to select the accounts(s), which provide the
basis for the allocation, and select the accounts and percentages which receive the allocation.
Journal Entries are generated from the allocation table.
Transaction Inquiry - allows a quick display of journal entry detail for a
selected general ledger account number and selected period range. A <ZOOM> option on any
transaction detail line gives a display of the entire journal entry for that transaction line.
Display Trial Balance and Report Totals - to the screen allows for a quick review
of the status of the general ledger.
Standard Reports include Journal Entry Register, Trial Balance, Auditor's Trial
Balance, Detail General Ledger, Transaction Register. These reports provide various options to select
period ranges, division/department/location, and various page break options. They can be printed for
prior periods and future periods, as well as the current period.
Fiscal Year Worksheet - provides a flexible report, with up to five lines of data
per account number, for selected fiscal years, type of data (Actual, Plan, Estimate), and format
(Dollars or Dashed Line for Planning purposes).
Exception Report - provides a tool to show variances between two selected fiscal
years (or the same fiscal year/different data types) and type of data (Actual, Plan, Estimate). The
user defines the dollar variance and percent variance criteria to establish the exception.
Temporary Posting for Next Fiscal Year - provides the option to do a 'temporary'
close of the current fiscal year, in order to roll over the balance sheet accounts and retained
earnings, so the financial statements and standard reports can be printed for a future general ledger
period while waiting for audit and/or other closing entries at the end of the fiscal year. Once the
year is closed, these temporary postings will be updated by the actual year-end balances.
Operating Plan/Estimate - allows for data entry of amounts to the Plan or Estimate
data types, by account number. Various methods for spreading the amount to the different periods are
available, in both an add mode and a replace mode.
Generate Plan/Estimate - provides the option to pre-load a fiscal year plan or
estimate using a selected fiscal year and selected data type (Actual, Plan, or Estimate), and
optionally applying a percent change to the update.
Plan/Estimate Worksheet provides a flexible report to use in the planning process.
Financial Statement Reporting - is a flexible set of tools to create custom
reports within the General Ledger Module. Provides report writing capabilities that allow the user
to perform comparisons, variances, ratios, and other statistics with spreadsheet-like functions.
Financial Statement Headers allow the user to define the column headings and data types represented
in the columns, with control over the starting positions, width of the column, and format of the
numbers. The body of the financial statement, Financial Statement Lines, gives the user the ability
to define the descriptions and select account numbers that are included in the line, as well as
various other parameters that control the format of the report.
Default Financial Statements can be generated from the chart of accounts.
